Company and Fleet Vehicle Registration Renewal in Dubai

A company van parked outside a building — company and fleet vehicle registration renewal in Dubai

Company-owned vehicles follow the same renewal requirements as private ones — insurance, cleared fines, inspection for vehicles over three years old — but the documentation sits with the company rather than an individual. The insurance must be in the company’s name, and someone acting on the company’s behalf needs written authorisation to do anything at the RTA.

For a business running more than a handful of vehicles, the real problem is not any single renewal. It is that renewal dates are scattered across the year and each one costs someone half a day.

What is different about a company vehicle

Three things.

The insurance must match the registration. A policy in a director’s personal name does not cover a vehicle registered to the company. This sounds obvious and is a routine cause of failed renewals when a car has changed hands between an owner and their business.

Authorisation is required for anyone other than the authorised signatory to act. In practice this means a letter on company letterhead, signed and stamped by the manager named on the trade licence, identifying the vehicle and authorising the person or service to act.

The trade licence must be valid. An expired licence creates problems across the company’s dealings with the authority, registration included.

Documents you will need

  • A valid copy of the company trade licence
  • The vehicle registration card
  • Insurance in the company’s name, active and visible to the traffic system
  • An authorisation letter, on letterhead, signed and stamped by the manager named on the licence, specifying the vehicle by plate, make, model, year and chassis number
  • Emirates ID of the authorised signatory

Where documents are required in Arabic, prepare them in Arabic. An authorisation letter in English alone is a common reason for a wasted trip.

Transferring a vehicle between companies

A related transaction that comes up regularly, and one with more moving parts than a renewal.

The selling company provides a valid trade licence copy, the memorandum of association, and a no-objection certificate in Arabic on company letterhead, signed and stamped by the manager named on the licence. The NOC is addressed to the RTA, authorises the transfer and registration to the buying company, and must state the vehicle’s plate number, make, model, year and chassis number.

The buying company provides its own valid trade licence copy and an equivalent NOC in Arabic, signed and stamped by its listed manager, authorising registration in its name and carrying the same vehicle details.

The sequence is then: the vehicle is tested at an RTA testing centre, the buying company arranges insurance once it passes, and the transfer is completed at the RTA.

One procedural point catches companies out repeatedly. Both managers must attend the RTA in person. Documents, testing and insurance all being in order is not sufficient — the RTA will not process a company-to-company transfer without both the selling and buying company managers present to verify documents and authorise the transfer.

Plan around that. It is the constraint that determines when the transfer can actually happen.

Running a fleet

Once a business is operating more than a few vehicles, the administrative pattern changes. Renewal dates land at different points in the year, each requiring an inspection booking, a trip to a testing centre, a check on fines, and a transaction. A fleet of fifteen vehicles generates fifteen separate half-days somewhere in the calendar.

Three things make this manageable.

Keep a register of expiry dates with reminders set well in advance — not a month, but two or three. Testing centres get booked up and a vehicle out of service is a cost of its own.

Align insurance renewals where you can, so policies are not being chased individually against different registration dates.

Batch the work. Vehicles with renewal dates in the same period can be handled together rather than one at a time.

How we handle fleets

We collect company vehicles from your premises, take them through testing, settle fines, complete the renewals and return them, scheduled so that you are not without several vehicles at once. Billing is consolidated into a single monthly invoice rather than arriving per vehicle, and RTA charges are passed through at cost.

For companies we need the trade licence and an authorisation letter once, rather than per vehicle. Details are on our services page, and the general sequence on how it works. For a fleet quote, get in touch with the number of vehicles and their renewal months.

Frequently asked questions

Can an employee renew a company vehicle’s registration?

With written authorisation from the manager named on the trade licence, on company letterhead and stamped. Without it, the RTA will not accept them acting on the company’s behalf.

Does the insurance have to be in the company’s name?

Yes. The policy must match the registered owner, so a company-registered vehicle needs a policy in the company’s name. A personal policy will not satisfy the check.

Do both managers really have to attend a company-to-company transfer?

Yes. Both the selling and buying company managers must be physically present at the RTA. The transfer will not be processed without them, even with all documents, testing and insurance complete.

Does an NOC have to be in Arabic?

For company transfers, the no-objection certificates are required in Arabic, on company letterhead, signed and stamped by the manager named on the trade licence, and must specify the vehicle’s plate, make, model, year and chassis number.

Can fleet renewals be scheduled together?

Vehicles with renewal dates in the same period can be handled as a batch. Dates themselves are fixed by each vehicle’s registration, so they cannot be merged, but the work around them can be grouped.

What happens if the trade licence has expired?

It creates problems across the company’s dealings with the authority. Renew the licence before attempting vehicle transactions.

RTA requirements for company vehicles and transfers are set by the authority and change from time to time. Confirm current documentation requirements through official RTA channels before attending.
